| What is Archiving?
Archiving is when information and important documents are preserved electronically for subsequent easy access. The documents are organized and indexed making it easy to locate the documents. The ncsCloud Archiver allows users to archive their documents in the cloud and their information would be accessed from anywhere with proper authorization How will it be done? Is it user friendly? The user simply uploads all document types including word, spreadsheet, scanned documents, images, movies, and assigns keys, descriptions and index to the document for preservation. The User interface guides you through the clicks and enetered information required to archive the document Where will the information be stored? The information is stored in large and distributed data centers globally located on data networks that are resident on the Internet and accessed with secured Internet protocols. How secure is the system? The site uses 4096 bit encryption in all communications to users and thus very secure. The site it self may only be accessed with at ncscloud In addition to username and password a CAPTCHA challenge to ensure it’s a human login in is also required for access How can information be retrieved? Information can be retrieved by the keys, descriptions and indices with which the document was previously archived. The form enabled you to fill in the details for the lookup. Is the archived information accessible to the public? No unless you the creator designates the document as for public consumption. The sophisticated archive system has roles for all users which define what they are able to do on the system. Typically a user resides in a company alongside other users in the same company. Each document may be classified default as private to the publisher or issued to all users in the company or to all users in the ncsCloud. Additionally a published document may have a pin number that may be required for access no matter how it’s been published as private, corporate or public. Why the need for archiving? This has been a part of living for generations however in recent times the media for preservation has evolved and now we offer lifetime online archiving on documents. The need is simple and is that past documents may be preserved to provide evidential information on real documents that may have been lost due to fire, flooding or other force majeure circumstances. With electronic copies it’s easy to recover reissued paper documents. Besides we now have an opportunity to store different documents types e.g. pictures, videos and other data formats. Targets – who should use this system? Companies and individuals may use the system. Corporations would use more services than individuals but they all have similar needs and share similar tools from ncsCloud.net What is required of an organization to use the system? A user would need to have a PC or Laptop with attached scanner and accessories as need depending on data types one wishes to archive. A fast Internet connection is recommended for good experience Are they required to purchase any equipment or software? Users are not required to purchase anything. Users or corporations sign a service contract for a number of seats (accounts) and when these are provisioned the users gain access to the ncsCloud services Are there required packages (storage space)? Yes, the business model is based on corporation and users thus a corporation would sign up for a number of users who belong to same corporate cloud. The company is also billed for storage at competitive international rates What support will be provided by Ghana Dot Com?
